Executive Assistant- $48,000 to $58,000

Because of the nature of the position, this position is primarily an "in office" role but does offer a great deal of flexibility related to hours and autonomy.

The Executive Assistant / Office Manager will organize and continually improve the administrative processes and policies to optimize business flow and increase efficiency. Our client is a highly successful construction services company with a lot of moving parts (lots of concurrent jobs). Our client requires a "hyper organized" professional who takes pride in ensuring that the team this role supports is also organized and things are "in order".

Having interviewed several current and tenured employees (that this role will support) - they describe the team as "a high quality team of employees who take ownership of their work".

responsibilities:
  • Various administrative and financial requests to support the office team
    • Daily Timesheet Hours
    • New Project Information, including site data and schedule
    • Invoice generation
    • "Light" Human Resource responsibilities like updating the Employee Handbook and scheduling employee reviews, etc.
  • Fleet maintenance tracking and scheduling for services
  • Assist with company scheduling
  • Organization of administrative digital assets - including Cloud folders, network folders, Outlook Calendars and SharePoint Sites
 
qualifications:
  • High organized TEAM player who is a self starter and enjoys taking ownership of his / her work
  • Minimum of four years of Administrative Support / Executive Administrative and / or Office Management experience required
  • Strong systems skills
    • Excellent verbal and written communication skills
